How to switch restaurant POS systems without losing a service

By Zorveta team · Updated · 2 min read

Read your contract first, rebuild the menu and check every modifier, test devices and printers with real tickets, train each shift on your own menu, and go live on a quiet day with someone to call. Compare end-of-day totals for the first week. Do not promise a timeline before you know your contract and hardware.

Start with the contract

Find the end date, the notice period, any early termination fee and who owns the hardware. Many switches go wrong because the date was missed, not because the new system was bad. Put the notice deadline in your calendar with a reminder a month before.

List what touches an order

Write down every tool that handles orders: POS, online ordering, delivery tablets, kitchen printers, loyalty, reservations, gift cards. For each one, decide whether it moves, stays or goes. That list is your project plan.

Rebuild the menu with care

The menu is the hardest part. Items are easy. Modifiers are where the errors live: required choices, defaults, upcharges, half and half. Go through your top thirty sellers line by line against the old system. If your new vendor has a menu importer, check what it brought across. In Zorveta One we build your menu with you from your current one.

Test devices and printers

Print a real ticket from every station. Run a mock order from each device. Test a split check, a void and a refund. Test the card terminal with a small real charge. Do this a week before go-live, not on the day.

Train by shift

One session per shift, on your own menu, with the real screens. Teach the five tasks each person does ninety percent of the time. Write them on a card by the terminal. Name one lead per shift as the person others ask.

Pick the day

Choose a quiet day and hour. Staff the day with an extra pair of hands. Have a number to call, with a named person, and test that it works. Keep the old system's data available for reference if your contract allows it.

The first week

Compare the end-of-day totals with the old reports. Review voids and comps. Ask each shift what slowed them down and fix the worst three before the weekend.

Use the checklist

The POS migration checklist puts all of this on one page. The switch guide gives a week-by-week version, and the switch page shows how moving to Zorveta One works, with each step labeled by status.

Quick answers

How long does a switch take?

It depends on your menu size, hardware and contract. Be wary of any fixed promise made before the vendor has seen your menu.

Can I run two systems at once?

Sometimes for a short period. It depends on contract terms and hardware. Ask early.
