How to run a waitlist that doesn't lose people

By Zorveta team · Updated · 2 min read

A waitlist loses people when quotes are wrong, guests cannot leave, and the call comes too late. Quote times from your own history and pad them slightly, text guests so they can wait elsewhere, hold the table for a set time, and keep a visible order so nobody feels skipped.

Why guests walk out

Guests walk out of a waitlist for three reasons. The quote was too long, so they leave. The quote was too short, so they feel cheated. Or they were not told when their table was ready, so someone else was seated first.

Quote from history

The best quote comes from how long parties actually stay. Track seating times by party size for a few weeks. A two-top turns faster than a six-top, and a Tuesday faster than a Saturday. Systems that learn your turn time can help. See turn-time pacing.

When you quote, add a little cushion. If the data says twenty minutes, say twenty-five. Beating your quote feels better than missing it.

Let them leave

A crowded entrance makes the guests inside uneasy and gives waiting parties no reason to stay. Take a mobile number, quote the time, and tell the party they can wait nearby. Text them when the table is close and again when it is ready. See notify and seat.

Set the hold rule

Decide how long you hold a table after you text. If a party does not come in that time, move to the next. Say the rule when you quote, so nobody is surprised.

Keep it visible and fair

Guests accept waiting if the order is clear. If you skip a party for a better table fit, say why. A party of two behind a party of six may get a bar seat first. Staff need one script for this.

Use the floor plan

A host who can see which tables are about to open can quote with confidence. Tables in a state such as waiting for check or being cleaned tell the host what is next. See the floor plan and the host stand.

Measure walkouts

Track parties quoted, parties seated and parties who left before being seated. A rising walkout rate tells you your quotes are off or your notification is late.

Quick answers

How accurate should wait quotes be?

Close enough to be trusted. Guests forgive a short wait that was honest more than a long wait that was promised short.

How long should I hold a table after notifying?

Many restaurants use ten to fifteen minutes. Pick a rule and say it when you quote.
